THE TASK

What problems were we tasked with improving?

Virgin Media O2 (VMO2) – one of the UK’s leading connectivity providers - engaged Robiquity to accelerate its automation strategy while reducing total cost of ownership. Facing significant increases in legacy RPA licensing costs, and a desire to shift from RPA into the world of Agentic AI, VMO2 sought to migrate and transform priority automations to Microsoft Power Platform and establish a sustainable, scalable operating model.

As well as growing licensing costs, VMO2’s automation estate was large and mixed, demanding rationalisation and prioritisation before any migration could begin. Robiquity needed to move at pace while minimising disruption to day-to-day operations. Crucially, VMO2 also had a need to develop internal Microsoft skills, capability and robust governance so it could own and extend the platform in-house post‑migration.

THE ACTION

What did we enact to help with the problem?

Given Robiquity’s experience in both legacy RPA technology and AI, coupled with expertise of migrations between the two, Robiquity were the natural technology partner of choice for VMO2 and this project. In addition, VMO2 already leveraged Robiquity’s Managed Service for its core automation support function. 

The project began with a Total Cost of Ownership Diagnostic, assessing 100+ candidate processes and prioritising a migration‑ready portfolio of 62 while decommissioning low‑value, low‑volume automations. 

Delivery then moved at pace. Within nine months, working in partnership with the in-house team and Robiquity’s Managed Service team, Robiquity transformed the estate of 450+ Blue Prism processes consolidating and optimising them with Microsoft Power Platform. 

To meet security, scalability and operational requirements, a hybrid deployment was implemented spanning both hosted and cloud environments. A Centre of Excellence was also established, embedding best practices, standards and guardrails to drive quality, speed and compliance. In parallel, the existing Robiquity Managed Service team responsible for production support upskilled with the VMO2 team to enable the delivery of small changes and new implementations in-house. 

The programme was run as a single, blended team with 26 Robiquity consultants, 6 Managed Service heads and 6 contractors working alongside 9 VMO2 specialists to create a high‑performing delivery unit. The blended model provided continuous opportunities to upskill VMO2 throughout the programme. It also allowed for the Robiquity team to gain deep knowledge of the VMO2 estate from VMO2’s specialists, helping to derisk the programme.

What were we able to achieve?

  • Substantial cost savings - Savings of £10.5 million forecast over three years. 
  • Seamless BAU performance – Proactive support service and transition management ensured no disruption to business-as-usual activities and no post migration capability issues.
  • Speed to value - Entire estate migrated in just nine months. 
  • Operations were simplified and maintenance burden reduced – Thanks to the decommissioning of low‑value automations.
  • Quality provided at every stage - All processes either remained stable or saw performance improvements in exception rates. 
  • Self-sufficiency - Through the Centre of Excellence, VMO2’s team are now self‑sufficient and able to build, run and scale automations in-house. 
  • Platform for future innovation - VMO2 via Robqiuity’s ongoing Managed Service now has a secure, governed, cloud native foundation on Microsoft Power Platform that supports future innovation.

With an ongoing Managed Service, VMO2 and Robiquity are actively working side by side to explore additional opportunities across the Microsoft ecosystem to unlock further value from Low-Code, Automation and Copilot — building on the strong foundation established by the migration, Power Platform CoE and support services provided by Robiquity.
