THE TASK

What problems were we tasked with improving?

40,000

staff currently employed

Following NHS Scotland's investment in Microsoft Power Platform, Robiquity was engaged to help maximise the value of the platform by identifying scalable use cases that could improve efficiency across the organisation and its various health boards.

NHS Greater Glasgow and Clyde are one of the largest health boards in the UK, employing over 40,000 staff and delivering healthcare across a highly complex organisation. As patient numbers continue to grow and cases become increasingly complex, clinicians faced mounting pressure to deliver timely, effective care.

One of the highest-priority challenges centred around multidisciplinary team (MDT) meetings used to discuss cancer patients. Existing referral processes varied between teams, lacked standardisation and required clinicians to work across multiple disconnected systems, creating inefficiencies and reducing the time available to focus on patient care.

"The problem we had with multidisciplinary team meetings before the innovation set in place was a whole variety of different strategies being used... a really inefficient process, a lack of standardisation in the information we had coming to MDTs. We found an exponential rise in the number of patients coming through MDTs, and that's unsustainable in terms of delivering efficient, effective care for patients." – Dr. Kevin Burton, Consultant Gynaecological Oncologist.

The ambition was not only to improve the MDT process within NHS Greater Glasgow and Clyde, but to create a scalable solution that could be adopted across NHS Scotland.

THE ACTION

What did we enact to help with the problem?

Working closely alongside NHS Greater Glasgow and Clyde, Robiquity designed and delivered a streamlined MDT solution using Microsoft Power Platform.

The solution brought referrals, collaboration and communication together into a single digital platform, creating a consistent and intuitive experience for clinicians while simplifying the referral process.

Rather than acting as a traditional supplier, Robiquity became an extension of the NHS Scotland team, combining technical expertise with a rapid development approach that enabled solutions to be delivered significantly faster than traditional delivery times.

The collaborative approach ensured governance requirements were met while accelerating delivery, helping NHS Scotland quickly realise value from its Power Platform investment.

"Normally, that kind of process would take months, but with the guys that we had working with us from Robiquity, they got it straight away." -  Andrew Hardy, Head of Development, NHS Scotland.

THE RESULT

What were we able to achieve?

15,600

hours estimated clinician time saved per year

The new solution transformed how multidisciplinary teams prepare for and conduct patient discussions.

Referral processes became simpler, communication between teams improved, and clinicians could spend less time on administration and more time focusing on complex patient cases.

Across the West of Scotland Cancer Network alone, the new process equates to approximately 15,600 hours of clinician time saved every year.

The increased efficiency enables more patients and more complex cases to be discussed during each MDT meeting, helping accelerate patient pathways while ensuring more complex cases receive the attention they require.

Most importantly, the project established the digital foundations for continued innovation across NHS Scotland, creating a scalable platform capable of supporting future transformation initiatives, including AI.

"If you save every clinician 20 minutes as a result of using this technology, it adds up to about 15,600 hours per year... which in the end means that more patients are being seen and their pathway is quicker than it would be otherwise." – Alex Snell, Delivery Lead, Robiquity

LESSONS LEARNED

What did we learn along the way?

Building on the success of the cancer MDT solution, NHS Scotland and Robiquity are already extending the platform to new specialties, with dermatological, haematological and breast cancer versions in development - with more planned to follow, alongside interest from other cancer networks across Scotland. Robiquity's work with NHS Scotland continues to grow beyond this project, reflecting a broader partnership focused on helping the organisation realise the full value of its Power Platform investment across the wider health system.

What did the customer have to say?

"Working with Robiquity was really easy. They were just part of the team, and we were all working together for the same goals, the same ambitions and the same outcomes. It wasn't transactional. It was about joining a team with a common goal - ultimately to improve patient care."

— Andrew Hardy, Head of Development, NHS Scotland
